Legal Support/Office Manager:

Position Summary

Small and informal but busy and growing energy law firm with competitive benefits and pay looking for full-time person to provide direct support for firm regulatory services for its clients and perform a variety of complex assistant and administrative functions. The position reports to Manager, Client & Strategic Business Operations. Responsible for all administrative functions and provides primary legal support for production and filing of pleadings and other legal documents, generally as part of state and federal administrative proceedings.  Experience in office management, human resources support, payroll, superior skills using MS Office product suite, and Adobe are required. 

Job Functions/Responsibilities

  • Managesreception desk; provides & ensures effective in-person, telephone (RingCentral) and mail communications; maintains office space and provides general support to visitors
  • Processes legal pleadings and administrative filings, (experience preferred)
  • Demonstrates advanced skills in Microsoft Word functions (including Tables of Contents, Tables of Authorities), formatting, and proofreading
  • Composes/prepares correspondence/filings/reports using standard software applications (Microsoft Office product suite/Adobe) in a form consistent with standard business practices; develops templates and maintains office email distribution groups and contacts
  • Schedules meetings and appointments; coordinates special events as requested
  • Arranges and coordinates travel/conference participation upon request
  • Maintains general office condition & equipment, orders supplies, coordinates with vendors
  • Maintains office systems and provides/updates employee access as required
  • Develops & maintains filing systems for both physical files & online applications; implements procedures for retention, protection, retrieval, transfer, and disposal of records
  • Develops, identifies, and implements process improvements for organizational systems, office functions, and administrative duties
  • Processes payroll, provides budget/accounting support (Accounts Payable/Receivables mgmt)
  • Supports service providers; provides timely/accurate information supporting business operations
  • Works as part of the team and adheres to/helps develop firm policies and procedures in conjunction with supervisor, with special attention to handling sensitive information/confidentiality requirements
  • Assists with onboarding new hires; performs other HR functions (experience preferred)
  • Works collaboratively with supervisor on all firm business matters, process improvement focused
  • Maintains professional and technical knowledge; seeks development opportunities
  • Meets performance expectations with minimal supervision
  • Demonstrates willingness and ability to perform other administrative duties as required to support firm mission and function.Participates as needed in special projects.

Knowledge & Experience Required

  • Perform challenging administrative work; demonstrated ability to remain organized and professional in a fast-paced and changing environment
  • 3+ years administrative experience; prior legal experience preferred
  • Proper English usage, spelling, and punctuation; advanced formatting/proofreading skills
  • Strong computer skills with advanced knowledge of Microsoft Word, Excel, Power-Point, Adobe; type accurately and efficiently
  • Proficient/professional use of electronic e-mail and Internet
  • Knowledge of office management systems and procedures
  • Efficient/effective under pressure with ability to prioritize workload
  • Initiative - identify process improvements & develop standards
  • Problem Solving – intermediate analytical and quantitative skills
